
My venue has an on-site coordinator. Do I really need to hire a day-of coordinator?
While this is a personal choice and possibly determined by your budget, it is important to recognize they each have fundamentally different roles and priorities. Let’s explore some of these differences so that you can make an informed decision.
Role of the On-Site Coordinator
The on-site coordinator’s primary focus is on the venue. From setting up the floor plan, to stocking toilet paper in the restrooms, to making sure the air conditioner is working properly when it’s 101 degrees outside, to granting vendor access for setup, the on-site coordinator is there to make sure the venue is prepared to host your wedding. If there is a power outage this person figures out what to do. They tell you what you can and cannot do with the space (i.e. no sparklers, no smoking) for the safety of you and your guests. The exact duties will vary from one site to another, but generally, the on-site coordinator will handle everything that is directly related to the venue.
Role of the Day-of Coordinator
The day-of coordinator’s primary focus is on the client. Their job is to make sure your day runs smoothly in accordance with the planning and management of details that you, together, worked so hard to establish. They serve as the point of contact for all vendor activity, ensuring your wedding runs on schedule. They solve problems you didn’t even know existed, as well as function as the mediator between you and, well, everyone.
